The most common reason a payment is late is not the rail, the bank or the policy. It is that the approver was in a meeting, on a plane, or at a conference. The mobile app exists so that stops being a reason.
Setting it up
- Install Xace from the App Store or Play Store.
- In the web app go to Security, Multi-Factor Authentication, and choose notification via the Xace app. Scan the QR code from your phone.
- Turn on biometrics and push notifications when asked. Both matter: biometrics make approval fast and safe, and push is how you hear about a pending request.
From then on the app is also your login: the code you need for the web app is on the app's home page.
What you can do
The app has four main pages: Home, Activity, Pay and FX.
- Approve or decline payments and access requests with a push notification and a biometric check. Multi-eye workflows work exactly as they do on the web.
- Cards: issue, freeze, monitor or retire virtual cards, with real-time spend alerts per card.
- Accounts: balances, recent activity, and switching between companies if you have several.
- Pay and FX: send money and run currency conversions from your phone.
An approver routine
- Let push do the work. Do not check the app; let it tell you. A request appears, you read the amount, payee and who raised it, and approve or decline in seconds.
- Decline with a reason. A decline is a message to the creator. Say what needs to change.
- Know your limits. The app will only show you what your role and approval limit allow. If a request is not there, it is above your limit or in another entity.
- Switch entity deliberately. If you approve for several companies, check which one you are in before you act. The app shows it.
- Freeze first, ask later. If a card alert looks wrong, freeze the card from the notification. Unfreezing takes seconds; a drained card does not.
Why this matters more than it sounds
With an alternative approver path in your policies and the app on both approvers' phones, a payment run never stalls on availability. That is the difference between an affiliate paid on Friday and one chasing you on Monday.
